Personal data processing notice “Knowledge-Share Communities (#university&emmahub)”

As photographs will be taken and recordings will be made at the “Knowledge-Share Communities (#university&emmahub)” (and the conference will be broadcasted), your image may be preserved in the form of a recording or a photograph and preserved as a live stream. Your participation in the conference that entails introducing yourself, asking questions and taking the floor constitutes consent for the capturing and recording of such utterances and dissemination of your image. Withdrawal of consent given in such a manner will not have any impact on the data collected prior to such withdrawal. 

 

Data Controller

The University of Warsaw, 26/28 Krakowskie Przedmieście, 00-927 Warsaw is the Controller of your personal data processed as part of the conference entitled“ Knowledge-Share Communities (#university&emmahub)”.

Data Protection Officer (DPO)

The Controller has appointed a Data Protection Officer (DPO) who may be contacted via e-mail at: iod@adm.uw.edu.pl. You may contact the DPO in all matters regarding your personal data processing by the University of Warsaw and executing your rights related to personal data processing. However, the DPO’s duties shall not include other matters, such as providing information on the conference, conditions for participation in the conference and conference agenda. 

 

Purposes of and legal basis for processing

Your personal data will be processed on the grounds of the abovementioned consent in connection with the Controller’s tasks performed in the public interest and compliance with a legal obligation to which the Controller is subject. You can withdraw your consent at any time by sending an e-mail to: Anna Jupowicz-Ginalska, a.ginalska@uw.edu.pl  

 

Data recipients

Access to data will be granted to authorized employees of the Controller, who must process personal data as part of their professional duties and tasks. Your data recorded at the conference may be published at the following websites: www.emmahub.wdib.uw.edu.pl, www.wdib.uw.edu.pl, www.media-management.eu/, and in other post-conference materials, i.e. summary of the meeting, etc.  Entities commissioned by the Controller to perform certain activities, i.e. prepare a recording of the conference, take photographs (or operate live streaming), may also be data recipients.

 

Data transfers outside of the European Economic Area (EEA)

Your data will be shared via a public YouTube channel (of the University of Warsaw) and will be processed by Google. To read more about data processing by Facebook, visit: https://pl-pl.facebook.com/business/gdpr  The above means that your data may be stored on servers located both in the European Union and in the United States of America. 

 

Data retention period

We will store your personal data until we complete the task, for the purpose of which the personal data was collected, or until you withdraw your consent to further processing unless we have legitimate grounds for the further processing of your data.

 

Rights of data subjects

According to the principles set forth by the GDPR, you have the following rights: 

  • right of access to data,
  • right to erasure when data processing does not take place in order to fulfill obligations resulting from regulation and/or as a part of public interest,
  • right to restriction of processing;
  • right to object to the processing of your data;
  • right to lodge a complaint with the President of the Personal Data Protection Office if you believe that the personal data processing violates the personal data protection laws.

 

Obligation to provide data and consequences of failure to provide data

  • Article 6(1)(a) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016
    on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ L 119 of 4 May 2016, p. 1 as amended) (hereinafter referred to as the GDPR);
  • Article 6(1)(e) of the GDPR;
  • Article 6(1)(c) of the GDPR – legal obligation results from the Higher Education and Science Act dated 20 July 2018 (Polish Journal of Laws of 2018, item 1668).

Providing data is voluntary. If you do not want your image to be recorded, you should not participate in the event.
